Explained
what on-the-day coordination includes.
On-the-day (or “day-of”) wedding coordination is a professional who takes over your plan in the final weeks and runs the day, so you, your family and your bridal party can be fully present.
- A handover meeting to understand your plans, suppliers and must-haves.
- Confirming arrival times, set-up needs and contacts with every supplier.
- A run sheet shared with suppliers and key people.
- Managing set-up, ceremony cues, speeches, timings and pack-down.
- Being the first call for any problem — so it doesn’t reach you.
Despite the name, coordination starts weeks before the wedding. That lead time is what makes the day run smoothly. Read more in planning vs coordination.

What does on-the-day wedding coordination include?
A handover meeting, confirming every supplier, a detailed run sheet, managing set-up, ceremony and reception timings, speeches and pack-down, and handling any issues on the day. Coordination work starts several weeks before the wedding.
When should we book a wedding coordinator?
For full or partial planning, as soon as you have a rough date and budget. For on-the-day coordination, book once your venue and key suppliers are confirmed — popular dates, especially spring and autumn Saturdays, go early.
Do we still need a coordinator if our venue has one?
Often, yes. Venue coordinators look after the venue — their rooms, staff and food. A wedding coordinator looks after you, every outside supplier and the whole timeline, including what happens before and after the venue.
Can you help with an engagement party or welcome drinks too?
Yes — see private events. Planning related celebrations together keeps suppliers and styling consistent.
