Engagement party planning: timeline, budget and etiquette

Who hosts, when to have it, who to invite and how to keep it relaxed. A practical guide to planning an engagement party in Melbourne.

The short answer: most engagement parties happen within a few months of the proposal, are hosted by the couple or their families, and are more relaxed than the wedding. Keep the guest list to people you also expect to invite to the wedding, choose a format that lets everyone mingle, and plan one or two short speeches. Allow six to eight weeks if you need to book a venue.

When to have it

Many couples celebrate within one to three months of getting engaged, while the excitement is fresh. If you’re planning a short engagement, a smaller gathering (or skipping it and putting the budget into the wedding) is perfectly fine.

Who hosts and who pays

There’s no fixed rule any more. Traditionally one set of parents hosted. Today it’s just as common for the couple to host, for both families to share it, or for close friends to throw it. Agree early who is organising it, so nobody plans two parties.

The guest list

  • The polite rule: only invite people you also expect to invite to the wedding.
  • It’s fine for the engagement party to be smaller than the wedding: close family and friends.
  • Decide on plus-ones and children now. It sets expectations for the wedding.

Formats that work

Format Good for
Cocktail party at a bar or private room Mixing families and friends, easy conversation
Long lunch Smaller groups, grandparents, a relaxed pace
Garden or backyard party A personal feel; needs a wet-weather plan
Rooftop or venue takeover A bigger celebration with a DJ

A simple planning timeline

  1. 8 weeks out: agree host, budget, date and rough numbers. Book the venue.
  2. 6 weeks out: send invitations with an RSVP date. Book catering, a cake and any entertainment.
  3. 4 weeks out: plan styling, a photo moment, and confirm speakers.
  4. 2 weeks out: confirm final numbers, dietary needs and a short run sheet.
  5. The week of: reconfirm suppliers and hand the run sheet to a friend.

Speeches and moments

Keep it short and warm: usually a welcome from the host, a few words from a parent or close friend, and a thank-you from the couple. Five minutes each at most. Schedule speeches early, while everyone is still listening.

What about gifts?

Gifts at engagement parties are optional. If people ask, it’s fine to say “your company is the gift” or point them to a small wish list. Avoid putting registry details on the invitation itself.

Use it as a test runAn engagement party is a low-pressure way to try a caterer, a stylist or a venue you’re considering for the wedding, and to see how both sides of the family mix.
